Portal access and permissions
Your property team controls who can use a portal and what it shows. Here is how access works and who to contact to change it.

On this page
Portal access is managed by the property team that owns the portal. They decide who is invited, which type of portal each person receives and what information is shared in it. This keeps control of property records with the organisation responsible for them.
What you can see
When you sign in, you only see the portal or portals you were invited to. You cannot see the property team's wider workspace, other people's portals or records the team has not shared with you. Every organisation's data in Propvora is kept separate from every other organisation's.
If something you expect is missing, such as a statement, document or maintenance request, the most likely reason is that it has not been shared with your portal yet. Ask your property team.
Who can change your access
Only your property team can:
- invite you to a portal or invite someone else, such as a joint tenant or co-owner
- change the email address your portal is linked to
- change your portal type
- change what your portal shows
- remove your access, for example when a tenancy ends
Propvora, the software provider, cannot grant, change or restore portal access for you, because we act on the property team's instructions about their own records. If you contact us about access, we will ask you to speak to your property team.
If you change your email address
Portal sign-in links are sent to the email address on your invitation. If you stop using that address, ask your property team to update it before you lose access to the old inbox. Until they do, new sign-in links will keep going to the old address.
For property teams
If you run a property team in Propvora, portals are how you give tenants, landlords, owners, applicants, guarantors, contractors and leaseholders access without adding them to your workspace. Keep team member roles for the people who work in your organisation. See Workspace roles for how team access works.
Privacy
Your property team is responsible for the personal data it shares through your portal. To learn how Propvora handles data, read our Privacy Policy.
