Getting started with Work

Work is designed to bring maintenance, repairs and planned jobs into one place, so nothing slips between messages.

Work is where repairs, maintenance and planned jobs are intended to live. Whether a tenant reports a leaking tap or you need to book an annual boiler service across the portfolio, the aim is that every job has an owner, a property and a status your team can see.

What the module is for

Maintenance is one of the biggest sources of day-to-day effort for property operators, and one of the easiest places for things to go missing. Work is designed to help with problems like these:

  • Repair requests arriving by phone, text and email with no single list.
  • Not knowing who is handling a job or whether a contractor has attended.
  • Recurring tasks, such as servicing and inspections, being remembered only when something goes wrong.
  • Little history of what was done at a property, when and by whom.

Planned preventive maintenance (PPM) scheduling is part of this picture: setting up recurring work so it happens on time rather than in response to a problem. The pricing page shows which plan each feature is on.

How it connects to other modules

Jobs are raised against properties, so each property builds up a maintenance history. Suppliers are the contractors who carry out the work. Some jobs relate directly to compliance, such as booking a gas safety check or remedial work after an electrical inspection. Costs connect to Finance, and photos, quotes and invoices belong in Documents.

During property manager onboarding you choose how work is allocated: assigned centrally, assigned by property, or claimed by team members. That choice reflects how your team intends to run work.

How to prepare now

  • Make a list of open repairs and who is dealing with each one.
  • Write down recurring tasks for each property, such as servicing, gutter clearing or alarm tests, and how often they are due.
  • Note which contractors you use for which trades.
  • Keep recent job history, quotes and invoices together so they are easy to bring in later.
