Automations is designed to handle the repetitive parts of property operations, so your team spends less time on routine follow-up and more time on the work that needs judgement.
What the module is for
A lot of property admin follows the same pattern every time: something becomes due, someone needs to be told, and a task needs to be created. Automations is intended to help with that kind of routine work, for example:
- Reminding your team ahead of a certificate expiry or a tenancy end date.
- Creating a task when something becomes due, such as a recurring service.
- Sending routine updates so people are not left waiting for news.
Staying in control
Automations is designed to support your team, not replace it. Propvora's approach is that nothing risky happens automatically without a person involved. Actions with real consequences, such as messages with legal significance, financial changes or decisions about a tenancy, should always be checked by someone on your team.
How it connects to other modules
Automations works on the information held in other modules. Dates from Compliance and Tenancies are natural starting points for reminders. Recurring jobs connect to Work. Routine messages connect to Communications. Because automations depend on that data, they are only as good as the records behind them.
How to prepare now
- Write down the routine tasks your team repeats every week or month.
- For each one, note what starts it, for example a date or an event, and what should happen next.
- Decide which steps must always be approved by a person.
- Make sure the dates they depend on, such as certificate expiries and tenancy end dates, are accurate.
