Agent and your data
How Agent (Beta) uses your workspace information, why its output must be checked, and the rules that apply.

Agent is Propvora's AI assistant. It is designed to draft messages, summarise records, suggest next steps and answer questions about information in your workspace. It is currently in Beta. This article explains how it uses your data and how it should be used. The AI Disclaimer and Privacy Policy are the governing documents.
A person stays in control
Agent output is a suggestion, not a decision. Nothing risky happens automatically: a draft is not sent to anyone, saved as a final record or used to trigger an action until a person in your team has reviewed and approved it.
AI can be wrong. It can misread a record, miss context or state something confidently that is not true. Always check Agent's output before you rely on it, particularly for:
- rent arrears and possession steps
- compliance sign-off and safety matters
- tenant selection and referencing
- anything with legal or financial consequences
Agent does not give legal, financial or professional advice, and your organisation remains responsible for the decisions it makes.
What information Agent uses
When you ask Agent something, the request and the parts of your workspace needed to answer it are sent to our AI providers. The Privacy Policy explains that whole workspaces, passwords and payment card details are not sent. The providers we use are listed in our Subprocessor register.
We use AI providers through business terms in which they act as our processor, and we do not use your data to train any model of our own. The Privacy Policy and AI Disclaimer explain how providers handle and retain data.
Using Agent responsibly
- Only include personal data that is needed for the task.
- Think carefully before including sensitive information, such as health details.
- Be open with tenants and others about how your organisation uses AI.
- Follow the prohibited uses in the AI Disclaimer and our Acceptable Use Policy.
If you would rather not use AI
The Privacy Policy describes how workspace owners can disable AI features for their workspace. If you are a tenant or other individual and do not want your information processed with AI, tell the organisation that holds your data.
Quick answers
Is my data used to train AI models?
We do not use your data to train any model of our own. The Privacy Policy explains the terms under which our AI providers process requests.
Can Agent send messages or make payments on its own?
No. Anything that leaves Propvora or changes a third party's position needs a person to review and approve it first.
